DUTIES AND RESPONSIBILITIES
Financial Reporting & Record Keeping
- Maintain accurate and up-to-date financial records in compliance with company policies and Kenyan accounting standards.
- Prepare monthly, quarterly, and annual financial reports, including income statements, balance sheets, cash flow statements, and management accounts.
- Ensure timely month-end and year-end closing processes.
- Conduct variance analysis and provide commentary on budget vs. actual performance.
General Ledger & Journal Entries
- Oversee the maintenance of the general ledger and ensure that all entries are posted correctly.
- Prepare and post journal entries for accruals, prepayments, and other accounting adjustments.
- Conduct periodic reconciliations of all ledger accounts to ensure accuracy.
Taxation & Statutory Compliance
- Calculate, file, and remit statutory deductions and taxes such as VAT, PAYE, SHIF, NSSF, withholding tax, and corporate income tax within the required deadlines.
- Liaise with KRA and other government bodies on tax matters and statutory audits.
- Ensure compliance with all relevant tax laws and keep up-to-date with changes in tax legislation.
- Prepare and submit statutory returns and support audits or tax reviews.
Payables and Receivables Management
- Process supplier invoices and ensure timely and accurate payments.
- Monitor accounts payable aging and maintain good relationships with vendors.
- Raise invoices to customers, follow up on collections, and reconcile customer accounts.
- Manage petty cash and staff expense reimbursements in line with company policy.
Bank & Cash Management
- Perform daily bank reconciliations and resolve any discrepancies.
- Monitor company cash flows to ensure sufficient funds are available for operational needs.
- Support the preparation of cash flow forecasts and reporting on cash position.
Budgeting and Forecasting
- Assist in the development of annual budgets in collaboration with the finance team and departmental heads.
- Track expenditures against budgets and highlight variances for corrective action.
- Contribute to financial planning and long-term forecasting.
ERP & Systems Management (Navision)
- Use Microsoft Dynamics NAV (Navision) for all accounting entries, reporting, and reconciliation tasks.
- Maintain data integrity within the ERP system and support continuous improvement in system use and efficiency.
- Train and support junior staff or new users on Navision functionalities as needed.
- Internal Controls & Audit Support
- Establish and enforce internal controls to safeguard company assets and ensure financial data accuracy.
- Prepare documentation and schedules for internal and external audits.
- Address audit queries and implement recommendations to strengthen financial processes.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Accounting, Finance, or a related field
- Minimum 5 years of accounting experience, preferably in a busy environment
- Proficiency in Navision ERP is a must
- Strong understanding of Kenyan tax laws, regulatory requirements, and statutory compliance
- Excellent analytical and numerical skills
- Attention to detail and high levels of accuracy
- Proficient in MS Office (especially Excel)
- Good communication and interpersonal skills
- Ability to work independently and meet tight deadlines
- Experience in a manufacturing environment will be an added advantage
