DUTIES AND RESPONSIBILITIES
Receiving and Inspection of Goods
- Receive and inspect all incoming materials to ensure they match purchase orders and delivery notes.
- Verify quantity, quality, and condition of materials upon delivery.
- Report and document any shortages, damages, or discrepancies immediately.
Storage and Inventory Management
- Store materials in designated locations using proper storage procedures.
- Maintain an organized and clean store layout to ensure quick access and safety.
- Label and tag materials accurately for easy identification and tracking.
Issuance and Distribution of Materials
- Issue materials to site teams and maintain accurate issue records with signed requisitions.
- Coordinate with site supervisors to understand daily material requirements.
- Ensure proper authorization is obtained before issuing any items.
Stock Control and Monitoring
- Monitor stock levels regularly and update inventory records in real-time.
- Prepare and submit daily, weekly, and monthly stock reports to the Storekeeper or Site Manager.
- Assist in setting and maintaining minimum and maximum stock levels to avoid stockouts or overstocking.
Documentation and Record Keeping
- Keep updated stock cards and documentation for all transactions (receipts, issues, returns).
- File all paperwork systematically and ensure records are easily retrievable.
- Assist in preparing inventory reconciliation and variance analysis reports.
Support in Procurement Coordination
- Liaise with procurement and site teams to communicate material needs in advance.
- Help track delivery timelines and follow up on pending or delayed supplies.
- Provide feedback on frequently used items for procurement planning.
Safety and Compliance
- Ensure that all materials are stored safely and in accordance with health and safety guidelines.
- Report any safety hazards or incidents immediately to the supervisor.
- Follow all company policies and standard operating procedures (SOPs) related to storekeeping.
Assist with Stock Audits
- Participate in periodic and surprise stock counts/audits.
- Assist auditors with required documentation and explanations.
- Reconcile physical stock with recorded balances and help identify variances.
Support General Store Operations
- Provide backup support to the Storekeeper during their absence.
- Train or guide casual store staff/helpers as needed.
- Continuously improve store processes and suggest ways to enhance efficiency.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Minimum 3 years of experience in a similar storekeeping role within a construction company is mandatory
- Strong knowledge of storekeeping and inventory management practices
- Familiarity with construction materials, tools, and equipment
- Good communication and interpersonal skills
- Proficiency in MS Excel and basic inventory software is an added advantage
- Attention to detail, accuracy, and strong organizational skills
- Must be based in or willing to relocate to Bungoma
