DUTIES AND RESPONSIBILITIES
Driver Supervision & Shift Management
- Oversee and manage both day and night shift drivers, ensuring adequate staffing for all shifts.
- Prepare and communicate driver duty rosters, adjusting schedules based on workload, emergencies, or absenteeism.
- Conduct pre-shift and post-shift briefings to relay instructions, address concerns, and confirm completion of tasks.
- Monitor driver performance, punctuality, grooming, customer service, and compliance with company standards.
Transport Planning & Coordination
- Plan, dispatch, and coordinate removals, funerals, airport pickups, transfers, and other client-related movements.
- Assign vehicles and drivers appropriately based on route, client needs, and vehicle availability.
- Ensure timely departure and arrival for all client engagements.
- Track and follow up on all ongoing trips to ensure smooth execution and resolve challenges promptly.
Fleet Monitoring & Maintenance Oversight
- Monitor vehicle roadworthiness, ensuring daily checks are completed and documented.
- Schedule and follow up on vehicle servicing, repairs, inspections, and general maintenance.
- Track and control fuel usage, consumption patterns, and refueling processes to prevent wastage or misuse.
- Ensure all vehicles have updated insurance, licenses, inspection stickers, and required documentation.
Route Management & Compliance
- Ensure drivers follow approved routes, avoid restricted areas, and adhere to company route policies.
- Provide guidance on optimal routing, traffic updates, and alternative routes to avoid delays.
- Maintain accurate route logs and trip sheets for reporting and reconciliation.
Enforcement of Discipline & Transport Policies
- Implement company transport policies, SOPs, and safety regulations consistently.
- Address driver misconduct, lateness, accidents, and policy breaches through proper disciplinary channels.
- Conduct periodic driver trainings on safety, customer service, and company expectations.
- Promote a culture of accountability, safety, and professionalism.
Incident & Emergency Handling
- Respond to accidents, breakdowns, delays, and emergencies, coordinating recovery and alternative arrangements.
- Investigate incidents, prepare detailed reports, and recommend corrective actions.
- Liaise with mechanics, insurance providers, and relevant authorities when necessary.
Record Keeping & Reporting
- Maintain accurate records of vehicle service history, fuel usage, trip logs, incident reports, and driver performance.
- Prepare daily, weekly, and monthly reports on fleet utilization, costs, and operational challenges.
- Monitor and analyze data to identify trends and propose improvements.
Client Service & Communication
- Ensure all client movements are handled professionally, on time, and according to instructions.
- Communicate with clients regarding pickup times, delays, or changes in plans.
- Resolve client complaints related to transport and escalate issues when needed.
Compliance & Safety
- Ensure all operations comply with NTSA regulations, traffic laws, and internal safety standards.
- Enforce use of safety equipment, defensive driving practices, and correct loading/unloading procedures.
- Conduct periodic safety audits and recommend preventive measures.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Transport Management, Logistics, or a related field
- 3–5 years’ experience in fleet or transport supervision
- Valid BCE driving license (mandatory)
- Excellent knowledge of major Kenyan routes
- Strong leadership, communication, and problem-solving skills
- Ability to work under pressure and manage operations across multiple shifts
- High integrity and attention to detail
