DUTIES AND RESPONSIBILITIES
Front Office Operations
- Welcome and assist guests in a friendly and professional manner.
- Manage guest check-ins and check-outs efficiently.
- Handle room reservations, bookings, cancellations, and amendments.
- Respond promptly to guest inquiries, requests, and complaints, ensuring timely resolution.
- Maintain accurate guest records and update information in the hotel management system.
Customer Service
- Provide guests with information regarding hotel facilities, services, local attractions, and transportation options.
- Ensure guests receive a positive and memorable experience throughout their stay.
- Handle telephone calls, emails, and walk-in inquiries professionally.
Administrative Support
- Perform general administrative duties including filing, record keeping, and document management.
- Prepare and maintain daily reports, occupancy reports, and other front office records.
- Assist in processing invoices, payments, and petty cash transactions where required.
- Coordinate communication between departments to ensure seamless guest service.
Financial and Accounting Support
- Receive and process guest payments accurately.
- Reconcile daily cash collections and maintain proper financial records.
- Support accounting and finance functions by maintaining accurate transaction documentation.
General Duties
- Ensure the reception area remains clean, organized, and professional at all times.
- Adhere to company policies, procedures, and hospitality standards.
- Support other operational departments as required.
- Undertake any other duties assigned by management.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Degree in Business Administration, Accounting, Hospitality Management, or a related field.
- Minimum of 1–2 years’ experience in front office operations and administrative support within a hotel or hospitality environment.
- Experience using hotel management systems will be an added advantage.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Good organizational and time management abilities.
- Basic accounting and financial record-keeping skills.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
