DUTIES AND RESPONSIBILITIES
- Record all financial transactions promptly and accurately into the accounting system.
- Monitor cash flow and ensure sufficient funds are available for operational needs.
- Process supplier invoices, ensure timely payments, and reconcile vendor statements.
- Prepare and send customer invoices, follow up on outstanding payments, and manage collections.
- Maintain updated debtor and creditor aging reports.
- Conduct regular bank reconciliations to ensure alignment between bank statements and internal records.
- Monitor petty cash usage and conduct monthly reconciliations.
- Prepare monthly management accounts, including income statements, balance sheets, and cash flow statements.
- Provide variance analysis and highlight areas of concern or improvement.
- Assist management in interpreting financial data for strategic decision-making.
- Assist in preparing annual budgets and rolling forecasts.
- Monitor actual performance against the budget and report on deviations with explanations.
- Calculate, file, and remit statutory payments such as VAT, PAYE, SHIF, NSSF, and withholding tax.
- Ensure timely and accurate filing of all tax returns in compliance with Kenya Revenue Authority (KRA) regulations.
- Maintain well-organized records to support internal and external audits.
- Liaise with auditors, respond to audit queries, and implement audit recommendations.
- Support stocktake exercises by verifying financial records against physical inventory.
- Maintain accurate fixed asset registers and calculate depreciation.
- Assist in payroll processing by ensuring accurate record-keeping of staff advances, loans, and deductions.
- Reconcile payroll accounts and ensure all deductions are remitted to relevant authorities.
- Assist in developing and enforcing finance and accounting policies and procedures.
- Monitor internal controls to prevent errors, fraud, and financial mismanagement.
- Provide analytical insights into cost control, profitability, and operational efficiency.
- Advise management on financial risks, opportunities, and planning strategies.
- Maintain orderly and accessible records of financial documents both electronically and physically.
- Ensure confidentiality and security of all financial data.
- Provide financial support to other departments for project costing, procurement decisions, or donor reporting (if applicable).
- Participate in meetings and provide finance-related inputs for strategic planning.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree or Diploma in Finance, Accounting, or any related field
- Minimum of 5 years of proven experience as an Accountant
- Proficiency in accounting software such as QuickBooks, Sage, or similar systems
- Strong understanding of accounting principles and financial reporting
- High level of accuracy and attention to detail
- Excellent analytical, problem-solving, and organizational skills
- Ability to work independently, manage time effectively, and meet tight deadlines
- Strong communication and interpersonal skills
