DUTIES AND RESPONSIBILITIES
Administrative Support
- Maintain and update physical and digital filing systems to ensure all documents are properly stored and accessible.
- Prepare correspondence, reports, and documentation as requested by management.
- Organize and manage office documentation including contracts, delivery notes, invoices, and receipts.
- Assist with compiling operational data and generating simple weekly or monthly reports for review.
Front Office & Communication Management
- Serve as the first point of contact for clients, suppliers, and visitors at the front desk.
- Manage and route incoming phone calls, emails, and physical mail efficiently.
- Maintain a professional and courteous demeanor when dealing with internal and external stakeholders.
Office & Facilities Coordination
- Ensure the office environment is clean, well-stocked, and fully functional.
- Monitor and request replenishments of office supplies and stationery.
- Liaise with maintenance service providers for minor repairs, cleaning services, and utilities management.
Support to Logistics & Tracking Department
- Assist in recording vehicle movements, delivery schedules, and dispatch documentation.
- Help monitor fleet availability, driver schedules, and fuel usage logs.
- Follow up with drivers and dispatch staff on delivery statuses and daily reports.
- Coordinate timely dispatching of parcels and goods and ensure proper record-keeping.
Staff & Records Management
- Maintain basic HR records including staff attendance, leave forms, and timesheets.
- Support onboarding of new employees with preparation of office equipment and documentation.
- Assist in coordinating meetings, office events, and internal training sessions.
Data Entry & System Updates
- Input relevant data into office systems or spreadsheets, ensuring accuracy and completeness.
- Assist with managing internal tracking systems or tools used for logistics and operations.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Business Administration or a related field
- Minimum of 1–2 years working in an administrative capacity, preferably in a logistics or tracking company
- Basic computer literacy is essential. Proficiency in Microsoft Office (Word, Excel, Outlook) and basic data entry systems
- Reliable, well-organized, detail-oriented, and able to work under minimal supervision
