STOCK CONTROLLER

DUTIES AND RESPONSIBILITIES

Inventory Management

  • Maintain accurate and up-to-date stock records (manual and/or system-based).
  • Monitor stock levels to prevent shortages, overstocking, or expiries.
  • Track fast-moving, slow-moving, and obsolete stock items.
  • Ensure proper product coding, labeling, and binning.

Stock Receiving & Dispatch

  • Verify incoming goods against delivery notes, purchase orders, and invoices.
  • Inspect goods for quantity, quality, and damages before acceptance.
  • Ensure proper documentation and recording of all stock movements.
  • Coordinate timely dispatch of goods while maintaining accurate records.

Stock Reconciliation & Reporting

  • Conduct daily, weekly, and monthly stock counts.
  • Investigate and resolve stock variances or discrepancies.
  • Prepare reconciliation reports and submit them to management.
  • Maintain proper documentation for audit purposes.

Warehouse Organization & Compliance

  • Ensure the store/warehouse is clean, organized, and safe at all times.
  • Implement and maintain FIFO/FEFO principles (especially for FMCG products).
  • Ensure proper storage conditions to minimize damages and losses.
  • Adhere to company policies and inventory control procedures.

 Coordination & Communication

  • Work closely with procurement, sales, and finance departments to ensure smooth stock flow.
  • Report low stock levels and recommend reordering timelines.
  • Support internal and external audits by providing required documentation.

 

Loss Prevention & Control

  • Monitor stock movement to prevent theft, pilferage, or mismanagement.
  • Maintain strict access control to the store.
  • Escalate discrepancies or suspicious activities to management promptly.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Certificate or Diploma in Supply Chain Management, Stores Management, or related field
  • Proven experience in inventory/stock control (FMCG experience preferred)
  • Strong record-keeping and stock reconciliation skills
  • Highly organized with keen attention to detail
  • Ability to work with minimal supervision
