JOB SUMMARY

The Tours Operations Manager is accountable for the flawless execution of all confirmed tours (FIT, leisure groups, special interest, and corporate groups). This role exists to protect the brand, the margin, and the client experience once money has been taken.

 

DUTIES AND RESPONSIBILITIES

Pre-Travel Readiness (Mandatory)

  • Receive structured handovers from Tours Consultants
  • Validate that all bookings are:
  • Confirmed
  • Paid as per terms
  • Documented correctly
  • Ensure:
  • Visas (where applicable) are tracked and cleared
  • Travel documents are issued accurately and on time
  • Conduct final readiness checks before departure

Live Tour Execution

  • Act as the escalation point during travel
  • Coordinate with DMCs, hotels, transporters, airlines
  • Manage disruptions:
  • Delays
  • Overbookings
  • Medical or security issues
  • Keep clients informed calmly and professionally

Post-Tour Closure

  • Close all supplier accounts
  • Capture:
  • Client feedback
  • Incidents and root causes
  • Support margin variance analysis
  • Recommend SOP improvements

Risk & Quality Control

  • Maintain risk registers per destination
  • Enforce SOP compliance
  • Ensure contingency plans exist for:
  • Visa delays
  • Supplier failure
  • Weather / strikes / force majeure
  • Train team on incident response protocols

Team Leadership

  • Allocate workloads
  • Coach coordinators on accuracy and accountability
  • Enforce deadlines and documentation standards
  • Participate in recruitment and training

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Tourism Management, Hospitality, Travel Operations or any related field.
  • Over 8years experience in Tour operations (FIT & Group) and Live travel execution.
  • Experience in a Outbound Travel Agency or A Travel Management company.
  • Proven handling experience of High-pressure travel disruptions and VIP/Corporate groups.
  • Must demonstrate mastery of end to end tour execution, Visa timelines and dependencies.
