OPERATIONS ASSISTANT

DUTIES AND RESPONSIBILITIES

 Operational Support

  • Assist in overseeing daily business operations to ensure smooth workflow
  • Coordinate activities across departments to support operational efficiency
  • Monitor ongoing tasks and ensure deadlines are met
  • Identify operational challenges and escalate issues where necessary

Administrative Duties

  • Provide general administrative support including filing, scheduling, and documentation
  • Maintain organized records of operational activities and transactions
  • Manage office correspondence including emails, phone calls, and internal communication
  • Support procurement processes and inventory tracking where required

 Reporting & Documentation

  • Prepare daily, weekly, and monthly operational reports
  • Compile and analyze data to support decision-making
  • Maintain accurate records and ensure proper documentation of processes
  • Assist in preparing presentations and business reports

Systems & Office Software Use

  • Utilize office software (e.g., MS Word, Excel, PowerPoint) for reporting and data management
  • Maintain spreadsheets, trackers, and databases
  • Ensure data accuracy and confidentiality

Communication & Coordination

  • Liaise with internal teams to ensure smooth communication and workflow
  • Support management in implementing operational plans
  • Communicate updates, issues, and progress reports effectively

 Leadership & Team Support

  • Provide guidance and support to junior staff when necessary
  • Promote teamwork and a positive work environment
  • Assist in supervising tasks and ensuring adherence to procedures

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma or Degree in Business Management or a related field
  • At least 1 year of experience in an administrative role within a fast-paced environment
  • Proficiency in office software (MS Office Suite or equivalent)
  • Strong organizational and multitasking skills
  • Good leadership and team coordination abilities
  • Excellent communication and interpersonal skills
  • High level of attention to detail and accuracy
  • Ability to work under pressure and meet deadlines
