JOB SUMMARY

The Procurement Officer will be responsible for coordinating the day-to-day procurement process, ensuring the timely sourcing and availability of materials, products, and operational supplies at competitive prices and in line with approved quality standards.

 

DUTIES AND RESPONSIBILITIES

Procurement & Sourcing

  • Identify and source reliable suppliers for products, materials, and operational requirements.
  • Request and evaluate supplier quotations based on price, quality, availability, and delivery timelines.
  • Negotiate pricing, payment terms, and delivery schedules within approved company guidelines.
  • Prepare and process purchase orders and procurement documentation.
  • Ensure purchases are made in accordance with approved procurement procedures and budgets.

Supplier & Order Management

  • Develop and maintain good working relationships with suppliers and service providers.
  • Follow up on outstanding purchase orders and ensure timely delivery of goods.
  • Coordinate with suppliers on order confirmations, pricing, stock availability, and delivery schedules.
  • Resolve procurement-related issues including shortages, delays, incorrect deliveries, and damaged goods.
  • Maintain an updated supplier database and records of supplier performance.

 Inventory & Internal Coordination

  • Work closely with stores, sales, logistics, and accounts teams to understand procurement requirements.
  • Monitor stock levels and support timely replenishment of fast-moving and essential items.
  • Ensure procurement activities align with operational and customer requirements.
  • Verify delivered goods against purchase orders, delivery notes, quantities, and specifications.
  • Escalate stock shortages, procurement delays, and other supply-related issues promptly.

ERP, Records & Reporting

  • Process and maintain procurement transactions accurately in the ERP/ODOO system.
  • Maintain accurate records of purchase orders, supplier quotations, invoices, deliveries, and procurement documentation.
  • Track procurement expenditure and provide relevant information for budgeting and cost control.
  • Prepare regular procurement reports covering orders, pending deliveries, supplier performance, and expenditure.
  • Ensure procurement records are properly organized and readily available for reference and audit purposes.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Diploma or Degree in Procurement, Supply Chain Management, Purchasing, Logistics, or a related field.
  • At least 3 years of relevant procurement experience, preferably within logistics, distribution, construction, building materials, or a similar operational environment.
  • Proven experience in supplier sourcing, quotation analysis, purchase orders, and supplier follow-up.
  • Proficiency in ERP systems, particularly ODOO, is required.
  • Good understanding of procurement processes and inventory coordination.
  • Strong negotiation and supplier-management skills.
