DUTIES AND RESPONSIBILITIES
Financial Reporting & Analysis
- Prepare timely and accurate monthly, quarterly, and annual financial reports including income statements, balance sheets, and cash flow statements.
- Analyze financial performance and provide insights and variance analysis to management for decision-making.
- Maintain up-to-date financial records in compliance with international accounting standards (IFRS) and local regulations.
General Ledger Management
- Maintain the integrity of the general ledger by ensuring all transactions are properly classified and posted.
- Conduct monthly reconciliations of all balance sheet accounts, including bank, payroll, and supplier accounts.
- Ensure proper month-end and year-end closing processes are followed, including accruals, journal entries, and adjustments.
Budgeting and Forecasting
- Assist in the development of annual budgets and periodic forecasts in collaboration with departmental heads.
- Monitor budgetary performance and highlight any variances for corrective action.
- Provide financial modeling and scenario planning support to aid business planning.
Statutory Compliance
- Ensure timely and accurate submission of statutory obligations including VAT, PAYE, SHIF, NSSF, and withholding tax.
- Maintain up-to-date knowledge of changes in local tax laws and ensure the company remains compliant.
- Liaise with KRA and other regulatory bodies on compliance matters and respond to any audits or reviews.
Internal Controls & Audit
- Establish, review, and enforce strong internal controls and accounting procedures to safeguard company assets.
- Prepare documentation and schedules for internal and external audits and follow up on audit findings.
- Continually evaluate and improve accounting processes and systems for greater efficiency and accuracy.
Accounts Payable & Receivable Oversight
- Review all supplier invoices, ensure accuracy, and oversee timely payments in accordance with company policy.
- Monitor customer accounts and ensure timely invoicing and collections.
- Reconcile vendor and customer statements, resolving any discrepancies promptly.
Cash Flow Management
- Monitor daily cash position and forecast short-term and long-term cash needs.
- Prepare weekly and monthly cash flow reports to ensure operational liquidity.
- Work with banks and financial institutions to manage company accounts and transactions.
Team Supervision and Support
- Supervise junior accountants and accounts assistants, reviewing their work for accuracy and completeness.
- Provide mentorship, training, and performance feedback to ensure growth and productivity of the finance team.
- Coordinate team efforts during key periods such as audits, budgeting, or system transitions.
Stakeholder Engagement
- Liaise with suppliers, service providers, auditors, and financial institutions on matters relating to finance and accounting.
- Provide finance-related support to other departments to help drive organizational goals.
- Represent the finance department in management meetings when required.
System Management and Process Improvement
- Oversee the operation of accounting software and systems, ensuring accuracy and integrity of financial data.
- Recommend and implement improvements to processes, systems, and reporting tools to enhance the finance function.
- Participate in system upgrades or migrations, ensuring data continuity and process alignment.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Accounting, Finance, or a related field, Must be a CPA K finalist
- Minimum 6 years of progressive accounting experience, preferably in a busy SME or mid-sized organization
- Proven experience with accounting software such as QuickBooks, Sage, or ERP systems
- Excellent knowledge of Kenyan tax laws and regulatory frameworks
- High attention to detail and strong analytical and problem-solving skills
- Ability to work independently and meet strict deadlines
- Strong communication and interpersonal skills
