DUTIES AND RESPONSIBILITIES
- eTIMS Compliance: Generate and issue compliant KRA eTIMS electronic invoices for all client retainers, project milestones, and media billings.
- Client Invoicing: Draft and send accurate client invoices based on approved agency rate cards, contracts, and creative scopes of work.
- Receivables Management: Track outstanding client invoices, send payment reminders, and follow up closely with Account Managers to ensure timely collections and healthy cash flow.
- Revenue Tracking: Reconcile incoming payments via bank transfers, cheques, and corporate M-Pesa lines against open client balances.
- iTax Management: Compute, prepare, and accurately file monthly statutory returns on iTax, including VAT, PAYE, and Withholding Tax (WHT)—which is highly prevalent in agency service contracts.
- Statutory Remittances: Process and remit monthly deductions including SHIF, NSSF, and the Housing Levy before legal deadlines to avoid penalties.
- Tax Documentation: Maintain meticulous files of Withholding Tax certificates issued by clients and ensure proper accounting treatment.
- Campaign Profitability: Track project-specific expenses (e.g., event setups, influencer fees, printing costs) against client budgets to ensure the agency maintains target profit margins.
- Supplier & Freelancer Payables: Verify, post, and reconcile invoices from external vendors, media houses, software platforms, and creative freelancers.
- Media Buying Reconciliations: Monitor and reconcile spending on digital ad platforms and traditional media buying against client-funded deposits.
- Core Bookkeeping: Maintain the general ledger, manage daily journal entries, and run monthly bank and credit card reconciliations.
- Financial Software: Keep the agency’s accounting software) clean, up-to-date, and organized by client/project accounts.
- Management Reports: Prepare monthly profit-and-loss statements, expense analysis, and cash flow forecasts to give the directors visibility into agency performance.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Accounting, Finance, or a business-related field.
- Minimum CPA Section 4 completion.
- At least 3 years of progressive experience working as an Accountant specifically within the FMCG or Retail industry.
- Strong proficiency in standard Accounting Software (e.g., QuickBooks, Sage, Tally, or ERP systems) and Advanced MS Excel.
- Up-to-date, practical knowledge of Kenyan tax laws, iTax portal navigation, and eTIMS operational frameworks.
- Candidates living along or near the Eastern Bypass, Ruiru, Kamakis, or Thika Road corridors are highly preferred.
