DUTIES AND RESPONSIBILITIES
- Maintain accurate and up-to-date accounting records and financial transactions.
- Post and reconcile daily transactions in QuickBooks.
- Assist in maintaining the general ledger and supporting schedules.
- Prepare and process payment vouchers, receipts, invoices, and other accounting documents.
- Assist with accounts payable and accounts receivable functions.
- Follow up on outstanding customer balances and assist with supplier reconciliations.
- Perform regular bank, cash, supplier, and customer reconciliations.
- Assist in maintaining petty cash records and carrying out petty cash reconciliations.
- Ensure all financial transactions are properly supported with relevant documentation.
- Assist in preparing monthly management accounts and financial reports.
- Provide supporting schedules and documentation required for financial reporting.
- Assist with month-end and year-end accounting procedures.
- Identify discrepancies, unusual transactions, or variances and escalate them to the Accountant or Finance Manager.
- Assist in preparing information and documentation required for audits.
- Ensure transactions are processed in accordance with the organization’s financial policies and procedures.
- Maintain proper filing and safe custody of financial records and supporting documents.
- Assist in implementing and monitoring internal financial controls.
- Ensure proper authorization and approval of financial transactions before processing.
- Support compliance with applicable accounting, tax, and statutory requirements.
- Maintain confidentiality of financial and company information.
- Assist the finance team with budgeting, cash-flow monitoring, and financial analysis where required.
- Prepare spreadsheets, schedules, and financial summaries using Microsoft Excel.
- Support the Accountant/Finance Manager with ad hoc accounting and administrative assignments.
- Liaise with suppliers, customers, banks, and other stakeholders on routine finance-related matters.
- Maintain an organized and easily retrievable accounting filing system.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree in Accounting, Finance, Commerce, or a related field.
- CPAK accredited
- Minimum 2 years’ relevant experience as an Accounts Assistant, Assistant Accountant, or similar role.
- Demonstrable experience working in a busy accounting/finance environment.
- Hands-on experience with QuickBooks is mandatory.
- Good working knowledge of Microsoft Office, particularly Microsoft Excel and Word.
- Good understanding of accounting principles, bookkeeping practices, and financial controls.
- Knowledge of statutory and tax compliance requirements is an added advantage.
