JOB SUMMARY
To establish and run the customer support function for our client’s new Electrical Division by handling enquiries, quotations, orders and service coordination for electrical, solar and power products and projects, while building the operating processes the division will rely on.
DUTIES AND RESPONSIBILITIES
Enquiry and Quotation Management
- Receive, log and triage all inbound enquiries received by phone, email, walk-in,
website and tender portals.
- Prepare quotations for electrical materials, solar PV components, UPS and
backup power systems, switchgear, cabling, lighting and accessories using price
lists, supplier quotations and approved divisional margins.
- Source pricing and lead times from local suppliers and international principals
for non-catalogue items.
- Follow up on issued quotations and record win/loss outcomes, including
reasons for the outcome.
Order Processing and Fulfilment
- Raise and manage sales orders in Dynamics 365 Business Central through to
delivery and invoicing.
- Confirm stock availability with stores and raise purchase requisitions where
stock is short.
- Coordinate deliveries, installation dates and site access with clients and the
electrical technician team.
- Track project material schedules on larger installations to ensure site works are
not delayed by supply constraints.
Service Desk and After-Sales Support
- Log service call-outs, breakdown reports and warranty claims; dispatch
technicians and monitor response against agreed service levels.
- Maintain the preventive maintenance calendar for solar, UPS and generator
service contracts, initiating scheduled visits proactively.
- Coordinate warranty claims and returns with suppliers, tracking credit notes and
replacements to closure.
- Close out service jobs administratively by collecting signed service reports,
issuing certificates and raising service invoices.
Client and Account Support
- Maintain client records, site asset lists and installed-base data for the division.
- Follow up proactively on consumables and spares reorder cycles, warranty
expiries and contract renewals.
- Support the Head of Electrical Division with account planning for key clients
including contractors, county governments, institutions and facility managers.
Tender and Bid Administration
- Monitor tender portals and publications for electrical, solar and power
opportunities.
- Assemble bid documentation including statutory documents, forms, catalogues,
compliance sheets and bid securities.
- Coordinate submission logistics and deadlines with the tenders function.
Divisional Build-Out
- Draft and maintain quotation templates, enquiry logs, service dispatch
processes and client-facing documentation.
- Build and maintain the divisional supplier and price list database.
- Contribute to divisional reporting on enquiry volumes, conversion rates, service
backlog and revenue against target.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma in Electrical and Electronics Engineering, Business Administration, Sales and Marketing, Supply Chain Management or a related field.
- Technical qualification in electrical engineering combined with commercial experience, or commercial training combined with demonstrable electrical product knowledge.
- Training or certification in solar PV fundamentals, customer service or ERP/CRM systems.
- Minimum 2 years’ experience in customer support, internal sales, technical sales support or order management, preferably in electrical, solar, power or building services supply.
- Experience preparing technical quotations and bills of quantity is a strong advantage.
- Experience with public-sector or tender-driven clients is an advantage.
