DUTIES AND RESPONSIBILITIES

Patient Care & Front Office Management

  • Welcome and receive patients, relatives, and visitors in a warm, polite, and professional manner.
  • Schedule, reschedule, and manage patient appointments efficiently to minimize wait times.
  • Manage the complete patient onboarding workflow, including registration, admission, and discharge documentation.
  • Direct patients to the appropriate clinics, wards, or specialists within the facility.

Insurance & Financial Administration

  • Guide and assist patients in accurately filling out medical insurance pre-authorization and claim forms.
  • Verify patient insurance validity and coverage limits with various medical schemes before treatment.
  • Coordinate with the billing department to ensure accurate invoicing upon discharge.

Records Management & Documentation

  • Maintain, organize, and update electronic and physical patient health records securely.
  • Ensure strict confidentiality of all medical, financial, and personal patient data in compliance with healthcare regulations.
  • Retrieve patient files promptly for medical staff when required.

General Administration & Operations

  • Oversee daily clerical tasks including managing phone calls, sorting emails, and handling general inquiries.
  • Draft official correspondence, memos, and reports for hospital management.
  • Monitor and track front-office inventory and order office supplies as needed.
  • Work closely with doctors, nurses, and lab technicians to maintain a seamless patient flow.

 

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree or Diploma in Business Administration, Healthcare Management, Secretarial Studies, or a related field.
  • Minimum of 3 years of continuous administrative experience specifically within a hospital or busy medical clinic setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Direct experience using Hospital Management Information Systems (HMIS) is highly desirable.
  • Practical understanding of Kenyan insurance providers (NHIF/SHIF, private insurances) and pre-authorization processes.
