DUTIES AND RESPONSIBILITIES
General HR Management & Administration
- Manage the day-to-day HR function, including employee records, contracts, onboarding, leave, attendance, staff welfare and general HR administration.
- Implement and maintain HR policies and procedures while ensuring employees and management adhere to established company practices.
- Provide professional HR support to management and employees, addressing workplace concerns, grievances and other employee-related matters.
Payroll & Statutory Compliance
- Manage the monthly payroll process accurately and on time, including salaries, allowances, overtime, deductions, loans, advances and other payroll adjustments.
- Ensure accurate and timely processing of statutory obligations, including PAYE, NSSF, SHIF and other applicable statutory requirements.
- Reconcile payroll records, investigate discrepancies and maintain accurate and confidential payroll documentation.
Recruitment, Onboarding & Workforce Planning
- Coordinate recruitment from job description development and candidate sourcing through screening, interviews, selection and reference checks.
- Prepare employment documentation and ensure all new employees receive proper induction and onboarding.
- Work with departmental heads to identify staffing requirements and ensure the organization maintains adequate and appropriately skilled personnel.
Employee Relations & Performance Management
- Handle employee relations matters including grievances, disciplinary cases, absenteeism, workplace conflicts and other employee concerns in line with company policies and employment law.
- Coordinate performance management processes, including probation reviews, appraisals, performance improvement plans and employee feedback.
- Promote a positive and productive work environment through effective communication, employee engagement and staff welfare initiatives.
Attendance, Leave, Records & Reporting
- Monitor employee attendance, punctuality, overtime and absenteeism, particularly within the company’s operational and shift-based workforce.
- Maintain accurate and confidential personnel files, leave records, attendance records, disciplinary documentation and other HR information.
- Prepare regular HR reports covering headcount, payroll, turnover, absenteeism, leave, recruitment and other workforce metrics for management decision-making.
HR Compliance, Training & Employee Development
- Ensure HR practices comply with applicable Kenyan employment laws, statutory requirements and internal company policies.
- Identify training and development needs and coordinate staff induction, training and other initiatives aimed at improving employee performance and productivity.
- Keep management updated on relevant HR issues, legislative changes and potential employee-related risks while recommending appropriate corrective actions.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Degree or Diploma in Human Resource Managementor a related field.
- Membership of IHRMor relevant professional HR certification will be an added advantage.
- Knowledge of Kenyan employment legislation and statutory HR requirements.
- Strong computer skills, particularly Microsoft Excel and HR/payroll systems.
- Minimum 3 years’ relevant HR experiencein a busy organization.
- Experience in manufacturing, retail distribution, logistics or another operationally intensive environmentwill be highly preferred.
- Proven experience managing payroll and handling the day-to-day operations of an HR function.
- Experience dealing with a diverse workforce, employee relations and HR administration.
