JOB SUMMARY

The HR Officer will be responsible for managing the day-to-day human resource function and ensuring effective implementation of HR policies, procedures, and employee-related processes.

DUTIES AND RESPONSIBILITIES

General HR Management & Administration

  • Manage the day-to-day HR operations and ensure smooth running of the HR function.
  • Develop, implement, and maintain HR policies, procedures, and employee guidelines.
  • Maintain accurate and up-to-date employee records, personnel files, contracts, leave records, and other HR documentation.
  • Manage employee onboarding, confirmation, transfers, promotions, disciplinary processes, and exits.
  • Prepare regular HR reports and provide management with relevant workforce information.
  • Ensure HR processes are handled professionally, confidentially, and in accordance with company policies.

Payroll & Statutory Compliance

  • Prepare and manage the monthly payroll accurately and within agreed timelines.
  • Verify attendance, overtime, leave, allowances, deductions, commissions, and other payroll inputs.
  • Ensure accurate and timely processing of statutory deductions and payroll-related requirements.
  • Reconcile payroll information and promptly resolve discrepancies.
  • Maintain confidential and accurate payroll records.
  • Liaise with relevant departments and service providers on payroll-related matters where necessary.

 

 

 Recruitment & Employee Relations

  • Coordinate recruitment activities, including job descriptions, sourcing, screening, interviews, and onboarding.
  • Work with departmental managers to identify staffing needs and ensure timely recruitment.
  • Handle employee queries and provide guidance on HR policies and procedures.
  • Support management in handling disciplinary, grievance, absenteeism, and performance-related matters.
  • Promote positive employee relations and a professional workplace environment.
  • Monitor employee attendance, punctuality, leave, and general compliance with workplace policies.

Performance, Training & HR Development

  • Coordinate employee performance management and appraisal processes.
  • Identify training and development needs in consultation with department heads.
  • Maintain training records and support implementation of employee development initiatives.
  • Assist managers in setting performance expectations and addressing performance gaps.
  • Support employee engagement and initiatives aimed at improving productivity and retention.
  • Provide management with HR insights and recommendations on workforce-related matters.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree or Diploma in Human Resource Management, Human Resources, Business Administration, or a related field.
  • At least 5 years of progressive HR experience, preferably in a busy organization.
  • Experience in manufacturing, retail distribution, logistics, building materials, or a similar operational environment is highly desirable.
  • Proven ability to independently manage and run an HR department.
  • Strong practical experience in payroll preparation and management.
  • Good knowledge of Kenyan employment practices and statutory HR requirements.
  • Experience handling employee relations, disciplinary processes, recruitment, and performance management.
  • Professional HR qualification or relevant professional membership will be an added advantage.
