DUTIES AND RESPONSIBILITIES
Receiving & Inspection
- Receive raw materials and verify quantities, descriptions, specifications, and documentation against delivery notes and purchase orders.
- Inspect incoming materials for visible damage, discrepancies, or quality concerns and report issues to the relevant supervisor.
- Ensure all received materials are properly recorded, labelled, and transferred to the appropriate storage locations.
Storage & Stock Control
- Organize and store raw materials systematically to ensure easy identification, access, and proper utilization of available storage space.
- Maintain accurate stock records and monitor stock levels to minimize shortages, excess stock, damage, and wastage.
- Ensure proper handling and storage of materials in accordance with company procedures and safety requirements.
Issuing & Material Movement
- Issue raw materials to authorized departments or personnel against approved requisitions and maintain proper documentation.
- Record all stock movements accurately in inventory systems, stock cards, or other approved records.
- Monitor returns, transfers, and adjustments to ensure all material movements are properly accounted for.
Stock Counts & Reconciliation
- Conduct regular physical stock counts and assist with periodic stocktaking exercises.
- Compare physical stock against system records, investigate variances, and report discrepancies promptly.
- Support reconciliation of inventory records and recommend corrective action where necessary.
Records, Reporting & Compliance
- Maintain organized stores documentation, including goods received notes, issue vouchers, requisitions, stock cards, and inventory reports.
- Prepare regular stock and inventory reports using MS Excel and inventory management systems.
- Ensure compliance with company stores procedures, inventory controls, health and safety requirements, and proper accountability of company materials.
KEY REQUIREMENT SKILLS AND QUALIFICATION
- Diploma or Certificate in Supply Chain Management, Stores Management, Procurement, Logistics, or a related field.
- Minimum 2 years’ experience in stores, inventory, warehouse, or materials management.
- Practical experience in stock receiving, issuing, stocktaking, inventory reconciliation, and record keeping.
- Proficiency in MS Excel and inventory management systems.
- Experience handling raw materials or working in a structured stores environment is an added advantage.
